PowerPoint presentations - Downloading instructions

In this section of the manual, you will find:

  • General information about the presentations.
  • The technical specifications required to download and run these presentations successfully.
  • Downloading directions.
  • Directions for opening the presentations.
  • Suggestions for customizing the presentations.

Format of Presentations

Each COAP presentation begins with an outline of the issues included in the presentation and a brief focus on the Bone and Joint Decade. COAP offers clarification of what an orthopaedic surgeon does and educational background and positions you as the first-line necessary strategy for musculoskeletal care. Presentations then provide a broad overview of each topic, covering risk factors, diagnosis, prevention and treatment. They are designed for use at group lectures and seminars and were developed with the general public in mind.

Approximate Length of Presentations

Each presentation should take approximately 30-35 minutes. You may also want to allow 10-15 minutes for a discussion period following your presentation. Each presentation is customizable to fit any length of talk you are scheduled to give.

Specifications

To run presentations at their optimum level you will need to have equipment meeting the following minimum requirements:

  1. A Mac or PC running PowerPoint ’97, 2000 or later.
  2. 64-128 MB RAM.
  3. If in a large room;
    Audio capability matching the size of the room/crowd.
  4. A projector and screen matching the size of the room/crowd and compatible with your computer.

Downloading

To download a presentation, you will need a high-speed (digital cable modem, DSL, T1 line or comparable) internet connection.

Be sure to download each of the following:

  • The PowerPoint presentation file, provided in Power Point Show format (*.pps). This means that the presentation has been saved as a self-running show and can be opened by both PC and Mac platforms. By simply double-clicking on the file without opening PowerPoint, the show starts without making PowerPoint visible; at the end of the show, PowerPoint disappears as if it were never running. Of course you can still make changes and customize the presentation by opening the file in PowerPoint. You will still need PowerPoint to run the presentation in Show format; if you do not have PowerPoint, download the viewer (see DOWNLOADING INSTRUCTIONS below).
  • The accompanying text-only version of the script (the script is also contained within the presentation file; see page 8 for instructions on printing a version of the script that includes presentation graphics).
  • An evaluation form for you to complete. Your feedback will assist us in continuing to develop materials for your use as part of your efforts to get the word out about musculoskeletal care.

If you do not have high-speed internet access, contact the Academy’s Public Relations department at 847-384-4036 to order a CD of the presentations. If you prefer slides, your own graphic arts or photography house can advise you on producing them from the PowerPoint presentations on the CD.

Downloading Instructions

If you have PowerPoint on your computer:

To download a COAP PowerPoint presentation or related file from the internet, simply:

  1. Navigate to http://www6.aaos.org/member/pemr/coap/coap.cfm (password-protected for members) or go to www.aaos.org and search for “COAP”
  2. Click on the presentation you need
  3. Right click on the PowerPoint presentation or file of your choice
  4. Click on “Save Target As”
  5. Select your folder, disk or drive to save the file to.

If you do not have PowerPoint on your computer:

To download a COAP PowerPoint presentation from the internet, simply:

  1. Navigate to http://www6.aaos.org/member/pemr/coap/coap.cfm (password-protected for members) or go to www.aaos.org and search for “COAP”
  2. Right click on the PowerPoint viewer (on the lower half of the page)
  3. Click on “Save Target As”
  4. Right click on the PowerPoint presentation (for Non-PowerPoint users) of your choice
  5. Click on “Save Target As”
  6. Select a folder, disk or drive to save the file to.

Opening and Working with the Presentations

If you do not have PowerPoint on your computer:

You will not be able to customize the PowerPoint presentation if you do not have the software installed on your computer. However, you will still be able to run the presentation.

  1. Use “My Computer” or “Windows Explorer” to navigate to the ppview32.exe.file (which you downloaded from the AAOS COAP web section or obtained from the COAP CD).
  2. Double-click the file to display the “Microsoft PowerPoint Viewer” dialog box.
  3. Select the presentation file you want to load.
  4. Select whether you want to advance slides manually or use the automatic timings.
  5. Click the “Show” button.

Viewer now launches with the selected presentation loaded, in Slide Show mode. Press “Esc” to exit the slide show and return to the Microsoft PowerPoint Viewer dialog box. Click the “Exit button” to close the dialogue box.

If you have PowerPoint on your computer:

  • Open PowerPoint and then open the presentation, or double-click on the file to open it in PowerPoint Show (*.pps) format (PowerPoint is invisible).

NOTE: The presentation has been saved as a self-running show and can be opened by both PC and Mac platforms. By simply double-clicking on the file without opening PowerPoint, the show starts without making PowerPoint visible; at the end of the show, PowerPoint disappears as if it were never running. Of course you can still make changes and customize the presentation by opening the file in PowerPoint. You will still need PowerPoint to run the presentation in Show (*.pps) format; if you don't have PowerPoint, download the viewer (see DOWNLOADING INSTRUCTIONS on page 6).

Customizing Your Presentation

To further enhance the effect of putting a personal face on musculoskeletal conditions and injuries, the Academy encourages you to include information about your patients where appropriate.

You may choose to adapt your presentation to your personal style and/or incorporate additional information. If you choose to use the presentation as developed, following the script is recommended to assure that you are communicating your messages effectively and accurately, providing optimal benefits to the listener. Consider practicing the script aloud prior to presenting to an audience, and making minor revisions as needed. This rehearsal will help increase your comfort and confidence in your delivery.

If you have PowerPoint installed on your computer and wish to customize your presentation, focus on personalizing and humanizing the presentation by adding your stories and those of your patients. Remember to establish a goal and check your revisions against that goal. What messages do you want your audience to remember?

When it comes to making changes to the actual PowerPoint presentation, there are many books available to assist you in this endeavor. Several are listed in the Resources section for your reference. For quick reference, here are a few suggestions for simplifying the process of revising the PowerPoint presentations:

  • The presentations on the COAP CD are “read only”. You will need to save them to your hard drive to make any changes to them.
    • With the presentation open in PowerPoint, Click File - Save As and select a file name and destination.
    • If you subsequently have difficulty viewing the video within the presentation, drag the video file from the CD-ROM to your hard drive and re-insert it into the slide as directed below.
  • Templates:
    • If you wish to use a different template, it is recommended that you maintain the current color scheme, particularly the blue background. This will ensure that artwork maintains the intended quality.
  • Inserting Slides:
    • Advance to the place in the presentation where you would like to insert these slides.
    • Click Insert - Slides from Files – Browse - Select file - Insert All - Close
  • Deleting Slides/Audio/Video:
    • If you would prefer to share the patient video portion of the presentation using a DVD, simply select the slide containing the video and delete it. (Order a DVD from the Public Relations Department by calling 847-384-4036.)

      NOTE: If you prefer to eliminate this portion entirely, be sure to delete the introductory slide immediately preceding the video slide as well.
  • Adding your personal information:
    • A formatted slide is included at the beginning of the presentation to simplify the process of adding your personal information.
    • If you wish to include any of your patient stories, be sure to secure permission first.
    • Adding photographs and/or videos to your PowerPoint presentation:
    • Select the slide to which you would like to add a visual.
    • Click Insert - Picture or Movie - From File and use Windows Explorer to help you locate the file.
  • Printing Scripts:
    • A script for each presentation is available to download from the Web, and on the COAP CD-ROM, as a Word document without slide graphics.
    • If you wish to create and print a script with slide graphics, they are easy to create from PowerPoint.
    • Open the slide show you wish to create a script for;
    • Click File - Send to Word - and select the format you would like to create from among the menu choices. It will take PowerPoint a few minutes to send the information to Word. When it is complete, simply print.
